Information System (IS) can be categorized into five major groups as follows: 

1.      Information System for Office and Administration

1.1.   Management Information System (MIS) is a system for managing finance and personnel, of which sub-systems range from budgeting, accounting & finance, procurement, supplies & durable goods, personnel, and monthly salary. Through time, the system has been undergoing constant development and improvement to optimize deployment and fulfill changing conditions.

1.2.    E-Document (e-Doc) is a system for receiving, transmitting, and circulating documents among various organs within the Institution. Users can work more conveniently as their documents can be sent and received via the system. No human sender is required especially in the process of document circulation; the system significantly reduces the time used in sending documents. Further, receiving and sending records are organized in a more systematic manner, resulting in a faster information retrieval.

1.3.   E-Reservation System (ERS) is the system used in managing the Institution’s resources comprising classrooms, auditoriums, computer labs, vehicles, audio-visual equipment, sports services, etc. ERS facilitates the users’ requests, the authority’s access permission, automatic classroom schedules, resource use follow-ups, and other report production. The system enables NIDA officials to provide faster and more efficient services, thereby deriving an increasing satisfaction among students as well as faculty and staff members.

1.4.   Attendance Tracking System (ATS) is a system which encourages maximum utilization and management of resources. ATS also stores the data of everyone in the NIDA community by monitoring their resource use—whether rare or often. For students, the system will keep track of their attendance rate. For NIDA personnel, ATS will record their active participation in institutional activities, meetings, and seminars.

1.5.   Project and Budget Management System (PBS) is a system set up to facilitate budget management procedures ranging from setting budgets, keeping track of project implementation, and following up the budget expenditure of each project. Via the system, the institutional executives or system users will be notified of the most recent status and stage of each project, the amount of the budget spent, and the extent to which each project has achieved.   

1.6.   Human Resource Information System (HRIS) is devised for personnel management. NIDA people are allowed to record their own information via the system instead of submitting paperwork as usual. Through the system, performance evaluation can be also conducted with greater speed and convenience. Importantly, HRIS will notify related parties in case any personnel meet the requirements for promotion. HRIS is comprised of the following sub-systems.

1.7.   Strategy Management System (SMS) is a system designed to garner the Institution’s strategic information at the institutional level and of their internal organs. STM also determines the Institution’s Key Performance Indicators (KPIs), which must accord with Thailand Administration Plan and Government Policy. To comply with the Institution’s quality assurance, STM encompasses wide varieties of functions including follow-up, evaluation, and report preparations. These functions enable NIDA’s KPIs to be on a par with standard KPIs of the government organs which are: Bureau of the Budget, Office of the Higher Education Commission, Office of the Public Sector Development Commission (OPDC), and the Office for National Education Standards and Quality Assessment (ONESQA).

1.8.   Training Management System (TMS)is devised to administer the information on training courses—be they short or long. TMS can deal with all training processes: course publicity, application, registration, enrolment, payment, evaluation, and certificate issuance. Via the registration system, newsletters are sent to students.

1.9.   Research Management System (RMS) is developed to manage data on research and academic services. The system supports appraisals of research scholarships from the process of seeking permission for research proposal submission, monitoring in-progress research projects, and producing final evaluation results after research completion. Overall, NDMS links to and imports items from both internal and external databases (National Research Management System—N RMS). 


2.      Information System for Executive and Quality Assurance

2.1.   Executive Information System (EIS) is established to collect information which supports report preparations for the executives. The system operation is separated from TPS. EIS imports data from the Management Information System (MIS), Academic Service System (ASS), and Quality Assurance Information System (NIDA QAIS). The system then brings such data to the Data Warehouse. EIS is comprised of various tools to assist in report production and data analyses, e.g. Decision Support System. These tools derive IS data which enable the executives to administer the Institution professionally. Current Data Warehouses contain:

2.1.1        Budget Data Warehouse,

2.1.2        Accounting & Finance Data Warehouse,

2.1.3        Personnel Data Warehouse,

2.1.4        Quality Assurance Data Warehouse,

2.1.5        Student Data Warehouse, and

2.1.6        Applicant Data Warehouse.

2.2.   Quality Assurance Information (QAIS) is a system which compiles data of quality assurance of the National Institute of Development Administration (NIDA). The system covers data of each organ, NIDA personnel, learning & teaching activities, academic services, human resource development, research publications, and events @ NIDA. Furthermore, QAIS offers data links to other systems, e.g. Management Information System (MIS) for personnel data and Academic Service System for lecturers’ workload data.


3.      Information System for Teaching & Learning Activities

3.1.   Academic Service System is introduced to provide academic services. The system can be divided into sub-systems which are: application, registration, and scholarship systems. Currently, the application and registration services are readily available online for applicants and students. 

3.2.   E-Testingis deployed to administer examinations via computer. Examinees are accommodated with convenience and can be rapidly notified of test results. Presently, e-Testing is used for admission to a regular master’s degree program and for computer literacy tests.    

3.3.   E-Learning is implemented in curriculum design, enabling lecturers to manage their own course syllabi while allowing students to engage in their self-study. Importantly, e-Learning provides both students and lecturers with real-time communicative channels.  

3.4.   E-Evaluation System (EVS) is a system used in appraising a lecturer’s efficiency. Students themselves are required to fill in information to evaluate their lecturer(s). Their evaluation information thus provides both the Institute and lecturers with guidelines for further pedagogical development and betterment. 

3.5.   Thai Qualifications Framework (TQF) is a system set up to plan and implement academic curricula according to qualifications framework. TQF facilitates curriculum officials, academicians of each School, and course lecturers to create their personal qualifications framework in various forms and to monitor it as they wish. The data can be also printed in the form of system reports. TQF can retrieve data from Academic Service System, thereby expediting data services and reducing errors.    

3.6.   E-Thesis is adopted in order to facilitate students’ draft and unabridged thesis writing. The Institution will receive the thesis outline via e-Thesis. There are no officials’ manual inspection procedures, resulting in a more convenient and time-saving process of thesis submission.   


4.      Information System for Computer Laboratory

4.1.   Printing Quotas in computer laboratories and via wireless connection is a system built to accommodate students’ printing services. Printing quotas can be purchased when printing orders are made in the computer laboratories or from personal computers via NIDA wireless connection.
